Your information may be provided to an outside source only when required by law and in order to fulfill a service request by you. We believe in honouring the trust you have placed in us by allowing us to serve your needs. Our goal is to maintain the highest quality of service and integrity in our customer relationships. This is the foundation of our Protection of Privacy Policy.

We will only collect, store, use and disclose personal information as needed to provide the product and services required by our customers, including the establishment and maintenance of our relationship with our customers; administer our business; and meet legal, regulatory or statutory requirements. We retain your personal information only as long as it is required for our business relationship or as required by law.

Our Protection of Privacy Policy outlines what types of personal information we collect, how long we keep it, how we protect the information, how we may use it, with whom we may share it and how it is shared. The Collection of Information

The purpose of collecting any information from you is for the sole purpose of serving you better. We collect and use information about you to communicate with you about our products, services and promotional events. We collect information about you through the following:

1. Catalogues and Flyers

When you ask us for a catalogue or flyer, you provide your contact information so that we can fulfill your request. This includes your name, address, phone number and email address. You also may choose to provide us with information about products that you’re interested in.

2. Purchases in Our Retail Stores

When you purchase a product or service from our retail stores, you may be required to give us contact and payment information (such as credit card information) so that we may process your order. When you pay for our products and/or services using a credit card, we use your credit card information to fulfill the order and for other internal purposes.

3. Purchases through Our Website

If you place an online order with us, you will be required to provide only the information needed to complete the processing of your order and billing (contact and credit card information). We share this information with outside shipping companies and credit card processing companies for the purposes of billing and shipping your order, but we do not provide any more information than necessary for these purposes. We may also use the information to contact you regarding your order.

Unless you request otherwise, we will retain this information so that it will be available for future transactions. If you do not want your profile and credit card information to be retained for future transactions, please see the “Contact Us” section at the end of this document.

4. Monk Commercial Accounts

When you open a commercial account with us, you may be required to give us contact and payment information (such as credit card information) so that we may process your orders. Our Monk commercial accounts enjoy payment terms of net 30 days and as such is an issuance of credit. Therefore, we will require banking information for a credit check. This information will be retained on file and will never be loaned, shared or given to another organization unless required by law. You may also provide us with information such as product preferences. Unless you request otherwise, we will retain this information so that we can serve your business needs better and so that it will be available for future transactions.

5. Customer Service

If you contact one of our customer service representatives, we may ask you for information such as your name, address and email address so that we can respond to your questions, comments or concerns. With your permission, we may retain this information towards serving you better.

6. Website

When you visit our website, we use transient or session cookies which collect information about the pages viewed on our website. A cookie is a small text file that contains information about a user. Unlike a persistent cookie, a transient cookie is not stored on the user’s hard drive. It is stored only in temporary memory. Transient cookies are not linked to any personally identifiable information about you. All cookies can be disabled in your web browser.

The cookie data collected includes User ID, internet protocol (IP) addresses, browser type, internet service provider (ISP) and platform type. The information is used by us to compile statistics including traffic analysis and reports for our internal use and to improve our website for the purpose of serving you better. Periodically, we may provide portions of our broad statistics only to vendors, consultants, potential advertisers and/or news agencies.

7. Other Information You Provide

To help us learn more about your shopping preferences towards serving you better, we conduct surveys periodically. Through surveys, you may provide us with information like product preferences, reasons for purchasing a product or service, or business, family and lifestyle information. Customer satisfaction surveys are used by Monk to monitor our service performance. Once results from surveys are tabulated, you may be contacted regarding your specific response or request.

How to Indicate Your Privacy Preferences

You may choose whether or not to give us your personal information, and if you do, how we use it. If we ask for your personal information, we will tell you why we are collecting it and we will ask for your consent. Sometimes you will be asked to give your consent expressly (such as by checking or clicking on a box). Other times we may obtain your consent implicitly by asking you to provide information with stated purposes but without any express statement of consent (such as when you order a product or request a catalogue). In those cases your consent will be understood if you provide us with the requested information.

Sharing of Information

We do not share personal information about our customers with any outside parties except where as required by law. Like many other businesses, we do share limited information with service providers we have retained to perform services on our behalf, such as providing mail contact information only, to the company that mails out our flyers for us. These providers must adhere to our Protection of Privacy standards and may only use the information to fulfill the service agreement. They are not authorized by us to use the information other than for the sole purpose of fulfilling the service agreement.

Keeping Your Personal Information Confidential

We take all appropriate steps to keep your personal information secure; the protection of your information is of the utmost importance to us. That is why our security standards include administrative, technical, organizational, contractual and the physical safeguards that are appropriate to its sensitivity. These safeguards are monitored and upgraded as necessary. For instance regarding online purchases, we use appropriate security safeguards to protect your personal information against loss, theft and unauthorized access. Any personal information you provide to Monk Office Supply is exchanged on a secure server.

Note: email is not a secure means to send personal information, as it is not encrypted. We encourage you to use our secure ordering process when ordering online.

Updating Our Protection of Privacy Policy

As our products and services change, our Policy will be updated to reflect the changes as they relate to it. Each time it is updated, a new revision date will be added at the end of this document. We reserve the right to change our information practices and the terms of this Policy, and to apply the changed practices to all information we have about you. By using our website, you agree to accept the terms of our Policy as stated at the time you use it. Any future access to our website that follows the posting of a revised Policy will be deemed to be your acceptance of this Policy as then revised. We reserve the right to change this Policy at any time.

Our website contains links to other websites that operate independently of us. They are not under our control. The links are provided to you simply for your convenience. Other websites may have their own privacy policies and once you link to another site, you are subject to the privacy and security policies of the new site.

In order for us to best serve your needs, we understand the importance of having accurate and up-to-date information about you. We do not routinely update personal information unless necessary for the purposes for which we will use it.
